We take great care to protect customers’ personal information.
 
  1. We respect customers’ privacy and carefully handle their personal information given to us at the time of inquiry and/or when entering our school . We may use the personal information not only for the management of students' data and lesson schedule, but for sending information to customers by post or via e-mail about our business operations including campaigns and events planned by our school as well as our group companies. We may also use any contact to help shape future sales, service improvements and marketing strategies.
     
  2. We will manage any personal data appropriately and seek the individual’s consent to its use beforehand.
     
  3. If it is judged necessary, in the course of our business, to outsource all or part of the work to handle customer data, we will select an outside company capable of meeting high standards of the data protection and will ensure that it is managed properly by concluding an agreement with the company to apply the standard rigidly.
     
  4. We take all necessary steps to prevent loss, destruction, falsification, leakage or unauthorized access to the personal data.
     
  5. We will comply with all laws as guidelines such as those in the Personal Information Protection Act.
     
  6. Should you want to see, alter, or delete any of your personal information, do not hesitate to contact the under-mentioned enquiry center directly.
     
  7. We carry out our staff training for proper handling of customers' data and regular evaluations of its effectiveness are conducted. At the same time, we intend to improve our privacy policy by reviewing it constantly.

We respect customers’ privacy and carefully handle their personal information given to us at the time of inquiry and/or when enrolling in our schools. We may use the personal information not only for the management of students' data and lesson schedule, but also for sending up-to -date information to customers by post or e-mail about our business operations including campaigns and events planned by our school as well as our group companies. We may also use any contact to help shape our future operation, service improvements and marketing strategies.

(4)Shared use of personal information

Personal information will be shared with our group’s companies. Detailed information on the group can be found here.
  1. Personal information that will be shared:
    Student’s name, parent’s name, postal address, telephone number, fax number, e-mail address, date of birth and gender
  2. Sharing of personal information:
    Limited to Z-Kai and Eikoh Group Companies and their related companies
  3. Purpose of use:
    To provide customers with various information about our educational activities, products, services, and others for better understanding of our Group's business operations.

    Web, mailing, telephone or in person, either in writing or orally.

(5)Disclosure to third party

We will manage the personal information properly and will not provide it to any third parties without prior consent of the individual concerned, except in the following cases:
  1. Where there is danger to the life, body, or property of an individual and it is difficult to obtain prior consent.
  2. Where it is specially required to disclose personal information for improving public hygiene or promoting the sound growth of children and it is difficult to obtain prior consent.
  3. When it is required to cooperate with a State organization, a regional public body, or a business entity entrusted with their task in carrying out the administrative work specified by law and it is feared that obtaining the consent would impede the execution of the work.
  4. When items needed to be disclosed have already been conveyed to a relevant individual or known to the public via our web-site under the Personal Information Protection Law.

(6)Procedures for responding to requests for disclosure

Should there be any request from an individual or his/her representative for being notified of utilization purpose of personal information, its disclosure, amendments, corrections, additions, deletions, suspension of use, or discontinuance of providing to third parties (hereinafter called "Request for Disclosure of Information, etc."), we will comply with all such requests without delay.
  1. Items that may be subject to "Request for Disclosure of Information, etc." are:
    the individual’s name, phone number, name and telephone number of school or place of work, department name, occupation, mail address etc.
  2. Methods of "Request for Disclosure of Information, etc." are:
    On contacting the department in charge (listed at the bottom of this document), a prescribed Form of ours will be sent to the individual. The relevant information will need to be completed on it and sent back.
  3. When making a "Request for Disclosure of Information, etc.", the following documents are required to be submitted:
    (In the case that the request is made by a named individual)
    • Prescribed Form as mentioned above with required information filled out completely
    • Photo ID such as driver’s license, passport, resident register card, or similar official certificate
    (In the case the request is made by a legal representative)
    • Prescribed Form as mentioned above with required information filled out completely
    • Photo ID of the individual such as driver’s license, passport, resident register card, or similar
    • A document to certify the representative as a person in parental authority such as transcript of family register and residence certificate
    • A document to certify the representative as a guardian of adult, curator, or assistant, which may be a certificate of registered matters or court decision (copy) proving the representative's legal capacity
    (In the case the request is made by proxy)
    • Prescribed Form as mentioned above with required information filled out completely
    • Photo ID of the individual such as driver’s license, passport, resident register card, or similar official certificate
    • Power of attorney duly signed and sealed together with seal registration certificate (issued within the last 3 months) to request on behalf of the individual
      ※With any ID, ensure that your 'permanent address' is hidden.
  4. Fee for sending a notification (response to the request for disclosure) and payment method:
    For each request 840 JPY will be charged. Please include a postage stamps to this value with the aforementioned Request Form.
    *Please note – there will be no refunds*
  5. Notification responding to the request for disclosure:
    It will be sent by mail (registered or the like) within 2 business days after receipt of the request. In the event that more time is required for internal examination, etc. , you will be informed as such.
  6. Purpose of using personal information acquired in relation to the request:
    This information will only be used for the purpose of responding to the request. Any personal information will be shredded, 2 years after the notification is given.
  7. Be advised that we are unable to disclose information in the following situations:
    • Where there is a danger to the life, body, assets of an individual or a related third party.
    • Information required for filling up the Request Form is lacking.
    • Unable to confirm the right to represent when a request is made by legal representative or proxy.
    • Where our Company's normal procedures for disclosing are not agreed to.
    • Where laws and ordinances are being violated.
    • Where there is a risk of disrupting the normal operation of our Company.
